PROJECTBackground

PT Pilot Pen Marketing Indonesia (PPMI) is a subsidiary of Pilot Corporation Japan, a manufacturer of writing instruments. Pilot Pen Marketing Indonesia was established as a new business focus in Indonesia, whereas Pilot is currently expanding their marketing and distribution reach to the Indonesian market and users.

As a newly inaugurated business, PPMI required a firm business infrastructure to support its upcoming operations, namely a proper inventory management system. This finance & supply chain management system is a part of enterprise resource planning (ERP), a multi-module integrated software system that manages various functions within a company , operates in real-time and is used to increase the efficiency of business processes. To facilitate PPMI’s needs, PT NSSOL Systems Indonesia offered an integrated end-to-end ERP solution based on Microsoft Dynamics 365 Business Central (MD365 BC). Once the agreement was reached between both parties, the project kicked off on 1 October 2023 and lasted until 31 January 2024.

The Microsoft Dynamics 365 Business Central is an all-in-one business solution ERP software that evolved from the Microsoft Dynamics NAV and can be operated in both cloud and on-premises. Its range of functions includes finance and accounting, human resources, purchasing, sales and marketing, manufacturing, services, inventory management, project management and warehousing. With NSIDN’s portfolio and expertise, MD365 BC-based ERP solution is also one of NSIDN’s flagship products.

Microsoft Dynamics 365 Business Central can transform business operations by boosting productivity, automating and improving processes, supported by world-class security and compliance, and making data-driven decisions. It is also highly flexible and accessible software that has full capabilities over various devices, with support available in over 47 languages. Being a part of one of Microsoft’s product lines, teams may collaborate over Microsoft Teams with access to the Business Central data with no additional cost needed. MSD 365 BC covers these following business aspects:

  1. Finance
    MS Dynamics 365 BC can help to improve financial performance with control over financial data, forecast cash flow, enhance financial performance, to expand to the global market.
  2. Manufacturing
    Able to recognize surface high-value opportunities, accelerates sales processes, delivers exceptional services, and elevates customer journeys.
  3. Supply Chain/Distribution
    MS Dynamics 365 BC can improve project costing, optimize resource level, drive project profitability, and enhance team productivity.
  4. Manufacturing process.
    Drives the supply chain optimization, manages manufacturing, improves inventory management process, and optimes the warehouse management.

In this project, NSIDN focused on implementing finance & supply chain management (SCM) system that included the sales, purchasing, and inventory management processes for the deployed solutions. The first phase of the project took a different approach from the other projects that NSIDN has worked on, as the fast implementation method was used instead, as NSIDN directly started the development phase instead of starting off with the basic planning phase and the project lasted for roughly four months. After the development phase, NSIDN began the training phase for all involved project team members and started the application testing phase afterwards.

POSTProject

The project was officially finished at the end of July 2024 and the system has already been live ever since for the Finance and SCM functions. Currently, the project is at its annual technical support (ATS) phase, with NSIDN monitoring its current operations. As the current phase is still ongoing, a deal to implement other modules in their systems within this year is under consideration from both parties. The second phase of the post-project is to start in April 2024, with the financial function expected to launch in August 2024.

WHATTHEY SAY

The cooperation between PPMI and NSIDN started off from a direct recommendation from the main branch of Pilot in Japan, supported by the portfolio of NSIDN’s overall achievements in Indonesia. Throughout the implementation of the software within PPMI’s business environment, Mr. Aji, the finance specialist of PPMI shared that MD 365 BC has positively affected PPMI’s business operations, especially with the time allocations. With MD 365 BC, it is possible to reduce the time taken to generate around 100 tax invoices in just 1 to 2 days, whereas previously it would take around 1 to 2 weeks without the assistance of the software. Likewise, it minimized potential human errors through automated inputs for financial transactions and stock recapitulations. The integrated cloud environment also allows easier access for other business functions to view available item stocks in the warehouse.

Overall, the implementation of MD 365 BC has an immense positive impact towards PPMI’s growing business process. Mr. Aji was also impressed with NSIDN’s fast and detailed work ethics, being quick to respond to various ticketed issues and troubleshooting. Currently, PPMI is focusing on storing their remaining database inputs within the new software environment and the annual technical service is still ongoing as well.
